Position: Parts Manager
Job description:
Responsibilities:
Consumables & stock control management
Management of an extensive range of essential consumables and parts, ensuring the necessary items are available for the workshop programmes and customer requirements
Maintain optimal stock levels - avoiding both shortages and overstocking
Ordering & procurement
Source, order, and purchase parts, while managing relationships with trusted suppliers
Negotiate competitive prices and fast, reliable delivery
Communicate professionally with suppliers by phone and email; building strong long-term relationships
Monitor supplier performance (delivery times, quality, cost) and escalate or replace underperforming partners
Check deliveries and items for accuracy and quality
Maintain accurate records of incoming and outgoing stock
Conduct regular stock reconciliations and support formal stock audits
Workshop support
Work closely with technicians and the wider workshop team to ensure correct parts are received on time.
Plan ahead for special or bespoke jobs requiring rare components, identifying any possible delays or issues
Ensure orders are correct, complete, and delivered promptly
Manage returns and warranty claims efficiently
Handle special orders and bespoke part requirements
Cost & sales management
Provide accurate documentation and records to allow for the correct charging to jobs
Track supplier price changes and communicate updates to the office team
Ensure the department operates smoothly and efficiently day-to-day
Systems, processes & organisation
Use of spreadsheets and internal systems to track stock levels, sales, and orders
Identify and improve processes for ordering, identifying, storing, and billing parts
Maintain tidy, well-organised stockrooms and storage areas
Ensure efficient workflows for receiving, storing, labelling, picking, and distributing parts
Comply with safety, environmental, and regulatory requirements, including hazardous materials and waste management
Reporting & budget support
Report on stock levels and highlight issues such as shortages, excess stock, or supply risks
Quality control & risk reduction
Ensure all parts used are genuine, safe, and compliant
Resolve supplier issues promptly to protect operational performance
Forward planning & continuous improvement
Identify opportunities to improve parts operations and better support the workshop and wider business.
Contribute to long-term parts strategy in alignment with company goals
Requirements:
Highly organised with excellent attention to detail.
Confident negotiating and communicating with suppliers.
Proactive, reliable, and able to work in a fast-paced environment.
Experienced in stock management, procurement, or a similar role (automotive experience preferred).
Able to follow and improve processes.
